A recognizable brand voice is a pattern of choices: what you explain, how directly you explain it, and how you treat the person reading. It should remain familiar across channels even when the format and level of detail change.

Consistency does not require every caption to sound identical. A customer support reply and a product announcement can share the same values while serving different needs.

Define the reader and the relationship

Describe the person you want to help, the situation they are in, and what they need from your brand. A first-time buyer may need reassurance and clear examples; an experienced customer may prefer a concise answer.

Choose three voice qualities and define them through behavior. “Clear” might mean short explanations and familiar terms. “Helpful” might mean giving a practical next step. Avoid qualities that cannot guide an editing decision.

Write examples instead of slogans

Create paired examples showing an unsuitable sentence and an improved version. Replace “revolutionary results guaranteed” with a specific, supportable explanation of what the product helps someone do.

Include guidance for greetings, calls to action, humor, technical language, and customer complaints. A small collection of realistic examples is easier to use than a long document full of abstract adjectives.

Adapt the expression to the channel

A professional network post may benefit from context and a clear argument. A short video may need a direct opening and one visual demonstration. Preserve the core message while changing its delivery.

Avoid copying the same caption everywhere without checking length, links, audience expectations, and layout. Adaptation should improve understanding rather than make the brand feel like a different company on every platform.

Build voice into approvals

Ask reviewers whether the draft is accurate, useful, recognizable, and appropriate to the situation. Separate required corrections from personal preferences so approval does not become an endless rewrite.

Update the guide when repeated questions or new formats expose a gap. Keep a few approved examples accessible to everyone who writes, including teammates who use AI to prepare first drafts.

Your next step

Write a one-page voice guide with three qualities, five practical rules, and three before-and-after examples from your own content.
